Staff Appreciation Event Coordinator

The role of the Staff Appreciation Event Coordinator is to support a spirit of communication and cooperation throughout the TFS community, by coordinating the annual TFS Parents' Association Staff Appreciation event. This position is a voting member of the Parents' Association Council (PAC).

Key Duties:

  • Submit an annual budget at the Autumn PAC meeting in accordance with financial requirements described in the PA Constitution.
  • Develop a project plan and identify and review appropriate suppliers. Gain approval from the EC on overall plan.
  • Ensure invitations are sent out to attendees and confirm TFS senior management's availability.
  • Coordinate any logistics for the President, speech etc.
  • Recruit a team of volunteer parents from all Branches.
  • Sign contracts on behalf of the PA and maintain accurate accounting records and submit the accounts to the PA Treasurer.
  • Prepare a report to be included in the PA AGM.

Other PA Duties:

  • As a member of the PAC, act as an ambassador and resource for parents and administration to encourage an inclusive TFS community.
  • Attend all monthly PAC meetings; participate in discussions and vote as required.
  • Remain in good standing on the PAC and maintain strict adherence to the TFS Code of Conduct and PA Constitution.

Key skills/abilities/experience:

  • Prior experience in a Standing Committee Chair position is an asset along with experience in event planning.
  • Solid project management skills, and ability to manage, people, time, budget and quality execution of the event.
  • Must have strong communication skills, and ability to pursue a confidential and diplomatic approach with all TFS stakeholders.

Commitment:

  • The post is for one year and can be renewed for up to four consecutive years.
  • The time commitment required is on average 2 hours a month for the PAC meeting, in addition to 2 hours a month in February/March and April for event preparation and meetings.
