Volunteer and Communications Coordinator

 

(NEW POSITION 2015 - 2016)

The role of the Volunteer and Communications Coordinator is to develop and grow a Parents' Association (PA) volunteer network and work with the Standing Committees on their volunteer and communications needs. This position is a voting member of the Parents' Association Council (PAC).

Key Duties:

  • Work with the PA VP to develop and implement a strategy to grow our volunteer network.
  • Gather volunteer interest forms and compile a list of volunteers for the various committees. Act as initial contact responding to all volunteer queries.
  • Support Standing Committee Chairs in coordinating volunteers for various events and committees.
  • Support Standing Committee Chairs with the development of their communication needs, review editorial, grammar etc.
  • Act as the point person between the PA and the TFS Marketing Dept., ensuring that all communications produced by the PA adhere to TFS communication guidelines.
  • Maintain a timeline (communications calendar) for all communication pieces for each PA event and work with the VP to get approval from the Executive Council.
  • Maintain an online file of all communication pieces which PAC members can access for reference purposes.

Other PA Duties:

  • As a member of the PAC, act as an ambassador and resource for parents and administration to encourage an inclusive TFS community.
  • Attend all monthly PAC meetings, participate in discussions and vote as required.
  • Remain in good standing on the PAC and maintain strict adherence to the TFS Code of Conduct and PA Constitution.

Key skills/abilities/experience:

  • Prior experience in a Communications role is an asset.
  • Must have strong communication skills, (both written and verbal) and ability to pursue a confidential and diplomatic approach with all TFS stakeholders.
  • Strong organizational skills are also needed along with a focus on teamwork.

Commitment:

  • The post is for one year and can be renewed for up to four consecutive years.
  • The time commitment required is on average 10 - 15 hours a month which includes, preparation of work and attendance in various meetings ie. PAC/committee meetings. This role is cyclical in nature; some months busier then others based on the time of year.
